Backup Settings

This is a discussion on Backup Settings within the Microsoft Money forums in Microsoft Tools category; I have Money set to keep only the 2 most recent backup files. However, all backup files are retained. I've even changed the setting to keep a different number of backup files to no avail. Has anyone else encountered this? Any suggestions? I'm running Money 2007 Deluxe on Windows Vista Home Premium....

I have Money set to keep only the 2 most recent backup files. However, all
backup files are retained. I've even changed the setting to keep a different
number of backup files to no avail. Has anyone else encountered this? Any
suggestions? I'm running Money 2007 Deluxe on Windows Vista Home Premium.

I assume that you are referring to the Scheduled backup. It's a bug
that exists in Money 2007 when you back up to what Money sees as a
removable medium, such as a USB flash drive. The workaround is to
manually delete those extras when the media gets too full. [You
could swap out to the next USB flash drive. :-) Just kidding.]

In Tools->Settings->BackupSettings
I suggest checking
x Automatically backup my Money file every time I close Money
Save in [a place on your hard drive ]
x Ask me before backing up each time*
x Compress Backup Files
Keep only the _20_most recent backup files [adjust to taste]

x Perform scheduled backups every _14_ days
Save in [a USB flash drive location]
x Ask me before backing up each time*
x Compress Backup Files
Keep only the _2_most recent backup files [adjust to taste,
but Money 2007 does not automatically trim to USB as it should]

Then periodically, perhaps once per month or more, copy your latest
backup (uniquely named by Money) to a CDR. With XP, this can be a
copy and paste operation. Otherwise use the burning software that
came with your CDR drive.

I strongly suggest use of a USB Flash drive rather than floppies.
They are bigger, so you don't have to swap media to back up. Plus
they are much more reliable (but not failure-proof).

* The reason I have Money ask me, is that I don't want to back up
each time I exit. If I went into Money 5 times in a day, I would
not want to back up 5 times, nor would I want to delete 5 other
backup files. You will be given the choice to BackUpNow or to
Postpone.

I am backing up to my hard drive, and it still keeps all backups. Money 2007
is the first version in which I've encountered this problem. I have used
Money since 1999, and I have never had this problem.

Is that the backup from whenever you close Money, or is that the
scheduled backup?

I only backup when I close Money. I do not use the scheduled backup option.

Here is how I think Money 2007 backup works when you have more than
the specified number of backup files already on your hard drive.

In Tools->Settings->BackupSettings suppose you select
x Automatically backup my Money file every time I close Money
SaveIn: C:\Documents and Settings\Cal\My Documents\Cal Backup
Keep only the _4_most recent backup files [default for example]

First, Money will only be looking at existing backup files that
start with the name specified in the SaveIn box.

Upon exit, I would then expect Money to back up to
"Cal Backup_2007-07-15_120942.mbf" where that date/time code
reflects the current time.

I then expect Money to delete what *was* the 4th-oldest of the
relevant backup files. Older files are not deleted. If you have
more than 4 such files before, you will have to delete the ones you
don't want manually. Money will add one file and delete at most one
file.

Having multiple backups is good. People sometimes recognize a
problem and exit with an automatic backup. If there is only one
backup, they overwrite their good backup. Having even more is good.
Sometimes people don't recognize right away that there is something
they will want to undo. I recommend increasing the number rather
than decreasing the number.

I have tried various amounts of backups and understand the need for multiple
backups. However, Money still does not delete the oldest backups. The
problem is with Money 2007 (no previous versions have had this problem), and
Microsoft needs to issue a patch.

Money 2007 has a problem with deleting older backups--ones that were created
by Money 2007. I have configured and re-configured the backup settings every
which way possible. However, it does not delete old backups--ones that it
created. All backup files are kept, and these will only be deleted if done
manually. Microsoft needs to issue a patch.
